Lists Overview

Lists allow you to perform data segmentation on data captured through Lead Capture Forms. Lists are created by either:

  • Defining data segmentation rules and having those rules execute against the leads in your database
  • Importing a CSV (Comma Separated Value) file

Lists are generated or updated on a user-defined schedule. Once a list is generated, users have several possibilities for their use:

  • Export the list to a CRM (happens automatically)
  • Target one, or many, lists for an email campaign.
  • Export the list to a CSV (Comma Separated Value) file.
  • Browse the list, and inspect individual list members.

Creating Lists

To begin creating lists, click on the Create List link at the top of the List module.

Begin by defining basic list parameters:

  • List Name: List name must be unique, and cannot be left blank.
  • Description: Some descriptive text to help identify this list.

After clicking the Save List button, you will be placed in to Edit Mode. (If you exit from this screen, your list will not contain any members, but will be saved for you to define in the future).

At this point, we have a blank list. Read the following two sections of this document, to learn how we create data segmentation rules, and automate the list generation of members...

Defining Data Segmentation Criteria

Data segmentation criteria allow you to further segment which leads appear in your lists. Users can later automate the process of targeting a campaign to a list, or export the list members to the configured CRM. Additionally, marketers can export the list to a file for download or browse individual members activity.

Currently there are two types of segmentation criteria supported (more are on the way):

  • Profile Criteria: Allows marketers to segment by Lead Capture Form information. ie Company, City, Email, etc...
  • URL Criteria: Allows marketers to segment by:

Profile Criteria

On the Edit List screen, click the Add Profile Criteria button.

The first choice available to users, is deciding which Lead Capture Form they would like to target. For the remainder of this section, we will be using the All Forms option.

By targeting All Forms we are choosing to apply this segmentation criteria to anyone in our database, whether they arrived through a Lead Capture Form or were imported from a CSV file. If we chose a specific Lead Capture Form, the resulting list would only be comprised of leads who have filled out the specified Lead Capture Form.

After selecting All Forms, we are presented with options allowing is to apply more granularity to our segmentation criteria.

Lets define some of the options on this screen:

  • Make Catch-Call: By clicking this checkbox, we are defining this criteria to add anyone who has filled out a Lead Capture Form to this list. Note that by clicking this option, all further criteria definitions will be ignored. Typical uses of this option are:
    • Adding everyone that submitted information from a specific Lead Capture Form to a list, and no one else.
    • Adding everyone in your database to this list (If you have chosen All Forms).
  • Criteria Key: The Lead Capture Form field that we will be creating the criteria by.
  • Criteria Operator: Some operator that performs our matching logic.
  • Criteria Value: The value inputted to a Lead Capture Form that we will be segmenting by.

Here are a common use examples, to get you started:

Generates this list with everyone that entered Miami as their city.
Generates this list with everyone that entered Miami as their city.
Generates this list with everyone that entered an @ibm.com email address.
Generates this list with everyone that entered an @ibm.com email address.
You do not need to use any wildcard syntax with a contains operator. LoopFuse with handle that for you.

When defining Profile Criterias, note that you can combine them. That is, our examples above will result in this list including everyone from Miami with an @ibm.com email address, and will appear as such:

On the Edit List screen, click the Add URL Criteria button.

Here are a common use examples, to get you started:

Generates this list with everyone that arrived at your homepage directly by typing your URL in to their browser
Generates this list with everyone that arrived at your homepage directly by typing your URL in to their browser
Generates this list with everyone that viewed the products/shoes directory on your website
Generates this list with everyone that viewed the products/shoes directory on your website

When defining URL Criterias, note that you can combine them. That is, our examples above will result in this list including everyone that typed our domain name in to their browser directly and is interested in shoes, and will appear as such:

Scheduling List Generation and CRM Export

Whether in View List or Edit List mode, you will have the option to schedule list generation, or generate the list immediately by clicking on the Not Scheduled link.

If you wish to have your lists auto-exported to your CRM, you must first configure your CRM. Click here, for instructions.


You should now be presented with the Task Edit screen, which provides marketers with the ability to:

  • Generate a list immediately
  • Define a schedule for list generation
    • Daily/Weekly/Monthly
    • Hourly
  • Export the list to the configured CRM

Items to note on this screen:

  • Export to CRM? If checked, this list will automatically be exported to your CRM upon being generated.
  • Frequency:
    • Daily frequency can be set to any day of the week or month, with an assigned time to execute this task.
    • Hourly frequency can be set anywhere from every hour to every 23 hours.
    • Current Server Time: Pay close to attention to this variable when defining your schedule. LoopFuse On-Demand is normally hosted across the United States on Central Time. The time you choose to schedule a task, will default to US Central Time!

When you are done configuring this list generation and export to CRM task, click the Update Task button. If you would like to delete a previously scheduled task, simply click the Delete button.

Importing Lists

Users can import a list via a CSV (Comma Separated Value) file. The CSV requires the first line to be the header row defining the fields for the following rows. An example would be:

fname, lname, email, company

When the file is uploaded the user is asked for a name of the list. The value given will also be name of the form created along with the list. When the user clicks submit for the list import, the header columns will be read and a LoopFuse Form will be presented with the WebForm Parameters columns pre-populated with the header column values. At this time will be able to modify the default Form name and description if desired. Will also need to map the LoopFuse fields to the WebForm Parameters and fill in the desired Display Label values.

Once the new import Form is saved, LoopFuse will determine if the list import should be processed in the background or not. If the size of the import file is large (i.e. larger than aprx. 100K), then the processing will happen in the background and the the user can continue on with their session within LoopFuse and will receive an e-mail when the list is finished processing. If the list is small enough to be processed in under a minute, the processing will occur then and when the next page is displayed, it will be a list of all the generated listed including the newly imported one.

While performing the list import processing, LoopFuse will iterate through the rows in the csv file and create a registration for the newly defined list. In the process of doing this, LoopFuse will check to see if the e-mail address (identified when map the email LoopFuse field in the Form) for the given csv entry being processed matches any other registration already contained within LoopFuse. If so, will use the same visitor id and if not, will generate a new one. Using the same visitor id if one already exists allows the linking of a newly imported lead with all the lead's other historical information.

Viewing List Members

You can view the members of a generated or imported list at any time, by clicking on the # Members link within the List view or edit screens.

After List generation, you will be presented with the above screen, signaling there are members in your list. Click on the list member number to access the member list screen...

This screen displays all members of the list that met the Criteria specified for inclusion.Note: This table displays the most recent Lead Capture Form registrations at the top.

Additionally, this table allows for extended functionality over the members of the list:

  • Delete: Allows you to delete an individual's registration permanently. This feature does not only remove the member, it deletes the registration completely from the system.
  • Sorting: Users can sort by either registration date (when the lead entered the system) or email address.
  • Export List: Clicking on the Export List link, will immediately export the list in Microsoft Excel format.
  • Lead View: Users can view more details on a specific lead, by clicking the (Image:Zoom.gif) icon.
