UserGuide:Campaign Management
From LoopFuse Wiki

Overview
The Campaign Management section covers three basic types of marketing campaigns; e-mail, source, and destination. E-mail campaigns are simply e-mails with HTML and/or text based messages that are delivered to one or more target lists. Source campaigns are web based advertisements or banner ads that can be tracked based on where a visitor came from. Destination campaigns are based on traditional media campaigns (i.e. print, radio, etc.) where a specific landing page is included within the advertisement and can be tracked from that landing page.
Campaigns within LoopFuse, regardless of type, can be nested and are visible within a hierarchical tree view. If want to create a sub-campaign (or folder) in which to house all the campaigns for that particular campaign initiative, would want to create a Container campaign. This can be done by clicking the Create Campaign link. Then enter the campaign name and description, then select the Container campaign type.
Once the container campaign has been saved, will see it listed under the root Campaign folder in the tree view along with the information for the container. The container campaign can be updated at any point in time including moving it to another folder if desired.
E-mail Campaigns
E-mail campaigns use LoopFuse Lists to indicate which recipients should receive the e-mail, which recipients should be used for testing, and which recipients should be excluded from ever receiving the e-mail. If you do not already have these Lists ready within LoopFuse, make sure to have them created (or imported) before creating a new e-mail campaign.
Create E-mail Campaign
To create an e-mail campaign, click the Create Campaign link, enter campaign name and description. Next select Email as the campaign type and the parent campaign. A monthly cost for the campaign be entered, if known, but leaving default value is fine. The monthly cost can be used to later track ROI later. Then click the Next button.
The next page will contain the information about the e-mail campaign in general such as which recipients to send to, message type, etc. To start, will need to select which target list containing the recipients the e-mail campaign should be sent to. One or more lists can be selected.
If a particular recipient with the same e-mail address exists in multiple lists that have been selected, the e-mail will only be sent to that recipient one time.
If you have a particular list you would like to send the e-mail campaign to for testing, it can be selected from the Test List drop down. Test lists can be sent to multiple times before and after sending the e-mail campaign to the targeted recipients list(s). If no test list is needed, leave the selection as None.
If there are any particular recipients that you want to ensure do not receive this e-mail, you select the list that contains these recipients to exclude from the Suppression List. Please note that the suppression list is only used when sending to the targeted recipient list and if a recipient is in the selected Suppression List and also in the Test List, they WILL receive the e-mail when sending test e-mails.
Next, select the message types you would like to send. The options are HTML and/or plain text. Depending on which message type was selected, will be able to edit the message in following pages.
Although it is possible to not include an Opt Out Link within the e-mails being sent out, it is HIGHLY suggested to never do this unless is only being sent to internal recipients.
Once lists have been selected and fields completed, click the Next button.
HTML Editor
If HTML message was selected as one of the e-mail campaign message types, a HTML editor will be displayed next. This is a WYSIWYG editor can can build you e-mail message here.
If you have already built the HTML message elsewhere (i.e. with DreamWeaver), can select the Source button on the top left of the editor pane and then paste the HTML.
From within the HTML editor, can add images by clicking the Add Image button
. This will bring up a dialog box where can enter the URl to where the image exists. LoopFuse does not currently host content for e-mail campaigns, so all media referenced within an e-mail campaign's HTML message must be hosted from an external location.
To create a link within HTML editor, simply select the text to create the link on and click the Insert/Edit Link button
. This will bring up a dialog box where can enter the link url.
LoopFuse does not add tracking to links within e-mail until the are sent to the recipients. Therefore no mangling of the link url is required when editing the HTML message for e-mails at any time and can be reused at later points in time.
Once have completed editing the HTML message for the e-mail campaign, click the Next button.
Text Message
If have created a HTML message for an e-mail and are now editing the text message, will see that the HTML from the previous page has been scraped and converted to text format. If are only sending plain text e-mail message, then will have to enter the message manually. Note, if sending text based none of the links within the text message will be trackable.
Once have completed editing the text message for the e-mail campaign, click the Next button.
Email Personalization
Whether you are creating an HTML, Text or both-format message, Loopfuse allows you to personalize your email content based on two criterias:
- Form Personalization: Allows substitution of content based on the recipient's information.
- Lead Owner Personalization: Allows substitution of content based on the lead owner's (salesperson's) information.
Customer Personalization
Clicking on the Personalize Email [Form fields] » link will display a list of form fields you can use to substitute content within your HTML and Text emails.
By clicking on the desired form field, substitution text will be placed within your email content, exactly where your cursor is, at that moment. At send time, LoopFuse will replace the inserted text with the appropriate content.
For example: Clicking on the first_name link, will place the text @@first_name@@ at the current cursor position within the editor. At send time, this will be translated:
Hello @@first_name@@,
Becomes...
Hello Bob,
... where "Bob" is the first name of the recipient within the LoopFuse system.
Lead Owner Personalization
Clicking on the Personalize Email [Sales fields] » link will display a list of lead owner fields you can use to substitute content within your HTML and Text emails.
By clicking on the desired lead owner field, substitution text will be placed within your email content, exactly where your cursor is, at that moment. At send time, LoopFuse will replace the inserted text with the appropriate content.
For example: Clicking on the lf_lead_owner_phone_office link, will place the text @@lf_lead_owner_phone_office@@ at the current cursor position within the editor. At send time, this will be translated:
Contact me at @@lf_lead_owner_phone_office@@
Becomes...
Contact me at 305-444-4444
Lead owner field content is taken from your CRM configuration. That is, whomever in your sales organization owns that lead, according to your CRM will be used to replace content, so emails appear to be personalized by sales person.
Default Personalization Values
If you have chosen to add any personalization fields to your email, you will be asked to define default values for each. That is, if content does not exist for a specific field, the email will substitute with the content you declare as default.
Using the example above, specifying a default for first_name as Friends, results in:
Hello @@first_name@@,
Becomes...
Hello Friends,
... when an individual recipient does not have a first name value in the LoopFuse system.
If you leave a default field blank, LoopFuse will replace the content with nothing.
Schedule Campaign Launch Time
Once the e-mail campaign's messages(s) have been entered, the e-mail campaign can be scheduled for sending. There are three basic ways to send an e-mail. The first is to schedule the e-mail campaign to be sent on a specific date and time, which can be select from the calendar picker and Hour/Minutes drop downs. This will schedule the e-mail campaign to be sent to the target recipients lists at the selected date and time. The e-mail campaign can be sent immediately by pressing the Send Now button and will also send to the target recipients lists.
To send a test e-mail to the test list, press the Send Test Now button. This will send an exact copy to the recipients within the selected test list. This button will only be displayed if a test list was selected when creating the e-mail campaign.
If just wish to save the campaign and decide on a time to send at a later time, simply press the Back to Campaigns button.
All these schedule and send options will be available at any time so can be re-sent multiple times at different periods of time.
E-mail Campaign Analytics
To view the E-mail Campaign Analytics for any given E-mail Campaign, select the E-mail Campaign from the Campaigns tree and then press the Campaign Analytics button. This will take you to the Opens Summary page.
E-mail tracking is the same for recipients of test list and targeted recipient list, so E-mail Campaign Analytics will show data for all recipients no matter how many times the e-mail is sent to test or target recipients lists.
Opens Summary
The Opens Summary page shows a pie chart indicating the number opened vs. unopened e-mails. There is also an opens summary section showing:
- Recipients - number of unique recipients that were sent the e-mail
- Unique Opens - number of unique recipients that have opened the e-mail
- Unopened - number of unique recipients that have not opened the e-mail yet
- Total Opens - number of times the e-mail has been opened to include a unique recipient opening multiple times
Finally, there is a table showing all the recipients that have opened the e-mail, how many times they have opened the e-mail, and if that recipient has opted out of the e-mail. Also, clicking the magnifying glass icon
will take you to the lead view page for that recipient.
When a recipient opts out (i.e. unsubscribes) from an e-mail campaign, if that recipient is also a lead that has been exported to your CRM system, LoopFuse will also mark that lead as opted out within your CRM system automatically. Also, when a recipient opts out of an e-mail campaign, LoopFuse currently treats this as a global opt out and will not receive any other e-mails from any of the LoopFuse e-mail campaigns.
Click Activity
Clicking the Click Activity link within the E-mail Campaign Analytics will show which links within the HTML message have been clicked.
The Click Activity table shows how many times a link has been clicked by unique recipients (Unique Click Count) and the total number of times a link has been clicked (Click Count).
Geo-Location
Clicking the Geo-Location link within the E-mail Campaign Analytics will show the geo location information for each recipient that has opened an e-mail. This is especially useful when sending to a list that has been imported from a third party source.
Lead Activity
Clicking the Lead Activity link within the E-mail Campaign Analytics will show any Opportunities that have been created within your CRM based off a lead that was created from the e-mail campaign. This will provide insight into how much potential revenue is being generated based on the e-mail campaign. All the data being shown is based off of the opportunity information stored within your CRM.
How it works - When an e-mail recipient visits your web site based off a link within the e-mail campaign and then registers on your web site, they are converted to a lead within LoopFuse. When that lead is exported to your CRM, LoopFuse will be able to track that lead through the sales process within the CRM. So if that lead is contacted by your sales team and an opportunity is created within your CRM, LoopFuse will be able to detect this and can provide information on that opportunity as it progresses through the sales process based on the campaign they originated from.
